Many episodes, u have seen Tobi asking Zetsu "Have u record down the battle?"

From here, u can see Tobi rely on Zetsu to see any recent events, or perhaps even from 1st Hokage era onward.

Thats how he managed to get so many data and can pretend to be Madara.

Or should i say, Tobi is the master of Naruto Shippudden history for a reason.

Zetsu has shown he can infiltrate any place without being detected. For example, during the 5 kage summit, Zetsu was able to appear right in the middle of their discussion room and said "Sasuke is coming to get you all!"

There was at least a sensory-type ninja and he could not sense his presence. The above theory can explain why Zetsu can appear in many impt events and record it down for Tobi.
